Wandering Greens Rental Policies
These Rental Policies apply to all rentals provided by Walton Mini Golf LLC, doing business as Wandering Greens ("Wandering Greens," "we," "our," or "us"). By paying the booking deposit or otherwise confirming a reservation, the client acknowledges that they have read, understood, and agree to these policies.
Booking & Payment
A reservation is considered confirmed once the required booking deposit has been received.
Unless otherwise agreed in writing, the remaining balance is due 7 days prior to the event date.
Failure to make payment when due may result in cancellation of the reservation.
Cancellation Policy
Cancellations made 14 or more calendar days before the scheduled event date will not be charged the remaining rental balance.
The booking deposit is non-refundable, but may be applied as a credit toward a future booking scheduled within 12 months of the original event date.
Cancellations made less than 14 calendar days before the scheduled event are responsible for 50% of the total rental fee, including any optional services or add-ons. Any amount paid above the required cancellation amount may be applied as a credit toward a future booking within 12 months.
Cancellations made within 24 hours of the scheduled event date will not be refunded, unless in accordance with our weather policy.
Credits are subject to availability.
Setup & Venue Requirements
The client is responsible for providing adequate access to the event location for setup and removal of equipment.
A clear path must be available between the unloading area and the setup location.
Any venue restrictions, permits, insurance requirements, elevator access, stairs, loading restrictions, parking limitations, or similar requirements must be communicated before the event.
Delays caused by inaccessible venues, venue restrictions, or client scheduling changes may reduce rental time and may result in additional charges.
If the rental includes relocating holes during the event, the client agrees to provide a clear and unobstructed path between locations. Wandering Greens is not responsible for delays caused by guests, furniture, venue restrictions, or other vendors that prevent timely relocation.
Wandering Greens reserves the right to refuse setup if the location presents unsafe conditions or could reasonably damage the equipment, including excessive mud, standing water, unstable ground, steep slopes, or similar hazards.
Damage Policy
Our courses are designed for regular play and we expect normal wear and tear. The client is responsible only for damage, loss, theft, or excessive wear beyond normal use caused by accidental, negligent, reckless, or intentional actions.
In the event of damage:
The client agrees to cover the full cost of repair or replacement of any damaged, lost, or stolen items. The client will be invoiced for the cost of repair or replacement, to be paid within 7 days.
A post-event inspection will be conducted, and any issues will be documented and shared with the client.
To avoid damage, clients are encouraged to supervise guests - especially children - and ensure the course is used as intended.
Standard costs of replacement (not limited to the list below):

One mini golf hole: $1000
-
Hand-built obstacles: Up to $250
-
Concrete obstacles: Up to $100
-
Putters: $20 each

Balls: $3 each
The client may also be responsible for repaying lost revenue if damages caused prevent another rental from taking place.
Decorations & Equipment Modifications
Clients, planners, florists, vendors, and guests may not attach tape, adhesives, screws, nails, zip ties, balloons, floral arrangements, signage, or other decorations directly to the equipment without prior approval from Wandering Greens.
Any approved decorations must be removed without causing damage.
Weather Policy
Outdoor events are subject to weather conditions. We advise having a backup, indoor location in case of weather.
For events beginning before 3:00 PM, weather-related cancellations must be made at least 18 hours before the scheduled start time to receive a full credit toward a future booking.
For events beginning at or after 3:00 PM, weather-related cancellations must be made at least 7 hours before the scheduled start time to receive a full credit toward a future booking.
Cancellations made inside these windows will receive all but the deposit amount in credit toward a future rental.
If Wandering Greens has already begun loading equipment or traveling to the event, no refund or credit will be issued unless the cancellation is due to extreme circumstances such as tornadoes, hurricanes, widespread power outages, heavy snowfall, icy roads, or other events that make travel unsafe.
Weather-related credits do not apply to indoor events unless extreme conditions prevent the event from taking place.
If severe weather develops during the event, Wandering Greens reserves the right to temporarily suspend play or remove equipment if conditions become unsafe.
All weather credits expire 12 months from the original event date.
Rescheduled events are subject to equipment and date availability.
Weather Decisions by Wandering Greens
The safety of our clients, guests, staff, and equipment is our top priority.
If Wandering Greens determines that weather conditions make travel, setup, operation, or removal of the course unsafe, we reserve the right to postpone or cancel the rental.
Whenever possible, we will work with the client to reschedule the event for a mutually agreeable date. If rescheduling is not possible, the client may choose either:

A full refund of all payments made; or
-
A full credit toward a future booking, valid for 12 months.
Weather decisions made by Wandering Greens will be based on current and forecasted conditions, including but not limited to heavy rain, lightning, high winds, flooding, extreme temperatures, ice, snow, or any other condition that presents a safety risk to our staff, guests, vehicles, trailer, or equipment.
Liability Policy
Wandering Greens is not liable for any injuries, accidents, or damages sustained by the client, their guests, event attendees, vendors, or any other individuals present at the event during the rental period.
This includes, but is not limited to, injuries resulting from misuse of the equipment, unsupervised play.
Guest Expectations
To help ensure a safe, enjoyable experience for everyone and keep our course in great condition for future events, we ask that all guests:

Enjoy the course as intended and treat all equipment with care.

Walk at all times while on or around the course.

Use putters only for putting.

Leave all decorative obstacles and course components in their original locations.

Keep food and beverages off the putting surface and away from the equipment.

Respect fellow players and allow one player to putt at a time on each hole.

Supervise children under the age of 12 at all times.

Follow any instructions provided by Wandering Greens staff.

Notify a Wandering Greens team member if any equipment becomes damaged or unsafe.
For the safety of all guests, climbing on, sitting on, standing on, throwing equipment, roughhousing, or intentionally damaging the course or equipment is not permitted.
Staff Safety
Our staff are committed to providing a fun and professional experience.
Wandering Greens reserves the right to suspend setup, discontinue service, or leave the event without refund if employees are threatened, harassed, subjected to abusive behavior, or placed in an unsafe environment.
Emergency & Force Majeure
Wandering Greens maintains contingency plans to help ensure every event runs smoothly. However, despite careful planning, unforeseen circumstances beyond our reasonable control may occasionally arise.
If circumstances beyond our reasonable control prevent us from providing services - including, but not limited to, vehicle breakdown, trailer failure, equipment failure, serious illness or injury, accident, road closures, severe weather, natural disasters, government orders, labor disruptions, or other unforeseen emergencies - we reserve the right to delay, reschedule, or cancel the rental.
If such an event occurs, Wandering Greens will promptly notify the client and make every reasonable effort to:

Repair or replace affected equipment

Arrange alternate transportation, equipment, or staffing when practical;

Reschedule the event, if possible; or
-
Provide a full refund of any amounts paid if we are unable to provide the agreed-upon services.
Wandering Greens shall not be liable for delays, interruptions, or cancellations resulting from circumstances beyond our reasonable control, nor for any indirect, incidental, consequential, or special damages arising from such events.
